General Onsite Instructions
Speaker Check-in
Please go to the AASECT Registration Desk located in the San Juan Foyer and sign in on the Speaker Sign-in Sheet. Once there, you will receive your Conference materials and badge. If you have any questions or need to confirm any of your session arrangements, please ask a representative at the registration desk to contact Sara Dethloff, AASECT Staff.

Session Room Prep
Session Arrival Time
Please arrive 15-20 minutes prior to your session’s start time to do a run-through of your presentation and to familiarize yourself with the room and equipment. There will be AV staff checking in on all session rooms during that time for any speakers needing any assistance.
AV Setup
All presenter rooms are pre-set with these standard audiovisual items: laptop computer, LCD projector & screen, microphone, speaking podium & head table/chairs.
Welcome & Introductions
We have forgone formal moderators this year and have instead placed a “Speaker Housekeeping Information” sheet on the podium in each room. Be sure to review it before the session and to relay the information listed to the attendees, as this is a great opportunity for them to receive reminders and updates about the conference. Please do not remove this sheet from the podium after your session.
Presentation Requirements
Presentation Materials
Please bring your PowerPoint Presentation on a USB drive as there will be a laptop set up in your session room for you to plug into.
If you are using your own computer onsite, please bring your own cord to connect to the projector. An example would be if your device has only HDMI, you will need that cord.
Please let attendees know if handouts or slides will be made available before the presentation begins.
If you would like the attendees to access any handouts or a PDF version of your presentation, please be sure to add them to your speaker portal so that they can be accessed through the conference app.
Presentation Accessibility
All PowerPoint slides need to be in 16:9 format.
All Presenters must include closed captioning with PowerPoint presentations embedded with video.
If you are looking to play a video during your presentation, be sure to embed the video into the PowerPoint slide.
Accessibility Tips for Presenters
Please consider the following tips in preparing your slides:
- Add captions, annotations, or subtitles to presentations.
- Consider the font size, type, and color for readability and perception.
- Please add any discussion questions in your presentation text.
- You are strongly encouraged to enable captions in your PowerPoint or presentation software so that they are visible for all attendees during the presentation.

Poster Presenter Information
Poster Information
Professional poster display stands have again been ordered for usage this year, and AASECT will provide each presenter with a ‘4×4’ space to display their poster.
Please arrive 30 minutes prior to the session’s start time to get your poster hung and ready for the hour-long session. Please note that AASECT will not be responsible for poster presentation materials left after the closing of the Poster Session.
All posters should be removed directly after the session ends. Any posters remaining after the poster session will be discarded unless previous arrangements are made with AASECT Staff.
Special Cases
If you are presenting in the San Juan Ballroom
The session will be translated live in English and Spanish.
Separate Zoom streams with captioning will support both languages.
Approximately 100 virtual attendees will join online. Please acknowledge them and include a few virtual questions if possible.
You will be provided with a CE Code Word that virtual-only participants will need to claim CE credits. Please try to add that code word to a slide or announce it towards the end of your presentation.
